What NTN and STRN mean for a small shop

Plain answers to the paperwork questions shopkeepers actually ask, and what to print on an invoice.

Tax paperwork frightens people out of invoicing properly, which is the opposite of what it should do. Here is the short version of what the terms mean and what belongs on a document.

This is general guidance for getting your paperwork tidy, not tax advice. For anything specific to your business, ask your accountant.

The two numbers

NTN — the National Tax Number. It identifies the business to the FBR. If you file an income tax return as a business, you have one.

STRN — the Sales Tax Registration Number. It exists only if your business is registered for sales tax. Plenty of small shops are not, and that is a normal state to be in, not a gap.

Print the ones you actually have. An invoice quoting a number the business does not hold is worse than one quoting none.

What a clean invoice carries

Whatever your registration status, a document that will survive a question from a buyer or an auditor has:

  • Your business name, address and phone.
  • A number that never repeats, in order.
  • The date.
  • The customer's name.
  • Each item, quantity, rate and amount.
  • The tax shown separately, if you charge it.
  • The total.

That is it. The rest is presentation.

Numbering matters more than people think

Gaps and duplicates in invoice numbers are the fastest way to turn a simple query into a long one. Numbers should run in sequence and never be reused — if an invoice is cancelled, the number stays cancelled rather than being given to the next sale.

If you charge sales tax

Show it as its own line, not folded into the price. The buyer needs to see what they paid tax on, and so do you at the end of the month. A document where tax is invisible cannot be checked by anybody, including you.
